HILLCRAFT

What we would build for an event and party hire

Two hundred chairs, one calendar, nothing promised twice

Marquees, tables, sound, lighting, bouncy castles, bars: every item you hire has a quantity and a calendar, and a booking should only go through when the stock is actually free on that date. We build you that system, with quotes that include delivery and collection, a deposit by Apple Pay or card, a ledger that knows where every piece is, and a crew app for the day's drops and pick-ups.

What goes wrong today

The same sixty chairs, two weddings

Quotes on paper and bookings in a diary don't know about each other. The moment two events on the same Saturday both want your long tables, someone finds out on the Friday.

Quotes that take an evening

Item by item, plus delivery to Kayaköy, plus the setup crew, plus the generator because the villa has no power. By the time the quote goes out, the customer has booked the company that replied in ten minutes.

No deposit, no show, kit on the van

A party cancelled the morning of, with the van loaded and the crew paid. A deposit taken by card at booking would have covered it without a single awkward call.

Where did the fourth speaker go?

Kit goes out to three jobs and comes back from two. Without a ledger that records every item leaving and returning, the missing piece is discovered at the next setup.

What we build for you, from the ground up

  1. Stock-aware availability

Every product has a quantity. A booking for a date only succeeds if enough units are free after every other booking, including the turnaround day for cleaning and transport. Reserved in one transaction, so two customers can never both get the last marquee.

  2. Quotes with delivery, setup and collection

The customer builds a list, gives the venue address and dates, and the server prices it from your rate card: item rates, distance bands, crew hours, weekend rates, a minimum order. The quote is a versioned document they approve online.

  3. Deposit by Apple Pay or card

Approval and deposit in the same step. The balance is requested automatically before the event, and a damage or breakage deposit can be held on the card and released at collection.

  4. Stock ledger: kit out, kit back

Every movement is a record: loaded for a job, delivered, collected, back in the warehouse, sent for repair. Quantities on hand are always right, and the crew ticks items on their phone as they load and unload. The same ledger runs a cabinet workshop today.

  5. Crew app for drops and pick-ups

Today's route in order, each venue pinned in Apple Maps, the packing list per job, photos on delivery and collection, and a customer signature. Works offline in a field with no signal.

  6. WhatsApp and email confirmations

Quote ready, deposit received, delivery window confirmed, 'the van is twenty minutes away', collection reminder. Sent by the system, in the customer's language.

  7. Owner's board and iPhone app

Jobs this week, quotes waiting for approval, stock out and due back, crew capacity and revenue. Face ID sign-in, CSV for the accountant, tonight's jobs on your lock screen.

The Apple layer your guests actually notice

Live Activity: the van on its way

On delivery day the customer's lock screen shows the arrival window counting down, then 'setting up', then 'done'. On collection day the same for pick-up.

The hire in Apple Wallet

A pass with the booking reference, delivery and collection dates, what's paid and your number, with a QR the crew scans at handover.

Venues in Apple Maps for the crew

The exact pin and the access note for every stop, one tap from the route. Collection times add themselves to the customer's calendar so the marquee isn't still full of guests when the van arrives.

App Clip QR on the equipment

A label on the generator or the sound desk opens an App Clip with no download: how to use it, report a fault with a photo, extend the hire and pay with Apple Pay.

Widgets for the warehouse

Kit due back today, jobs tomorrow, low stock on consumables, on the home screen. The crew's next stop sits in the Dynamic Island while they finish the current one.

Payments in Türkiye, done properly

Deposits, balances and damage holds go through your own iyzico or PayTR account or your bank's virtual POS, so UK and EU cards and Apple Pay work and the money lands with you; we never hold it. Customers see pounds or euros, you settle in lira. Holds release automatically at collection, refunds inside your terms are automatic, and there is no marketplace commission.

Built and running: the examples this comes from

Questions we get asked

We hire out hundreds of different items. Is that manageable?

Yes. Products live in categories with quantities, bundles such as 'wedding for 100' expand into their items, and you can photograph a new item now and name it later. The ledger has handled a workshop's full parts catalogue.

Can customers book without a deposit for small orders?

Your rules: deposit above a threshold, full payment for small hires, or account terms for venues you work with every week. Each is a setting, not a rebuild.

What about breakages?

A damage deposit can be held on the customer's card and released at collection, or charged against the photos your crew took at pick-up. No IBAN, no argument.

How much does it cost?

Fixed price agreed up front for the first release, scoped to your catalogue and your season. You own the code and the data; no monthly licence and no commission.

Do you visit the warehouse?

No. We work remotely from the UK with video calls, and your team tests the crew app on their own phones before launch.

Send us your price list

Your catalogue and how a booking happens today is enough to start. We'll reply with a written plan for availability, quotes, deposits, the ledger and the crew app, then walk through it on a video call.
